Questions about Managed Billing

Do I keep my own payer contracts?

Yes, always. We bill under your NPI, with your contracts and your negotiated rates. Every payment goes straight to your own account; Upheal is never the payee. Your notes and billing history are exportable anytime.

What does it cost?

5.9% of what we collect for you. 4.9% once you post $25,000 or more a month in insurance payments through Upheal. No setup fees, no per-claim charges, no monthly minimum, no per-provider fees. If you don't get paid, neither do we. Larger practices can talk to us about custom pricing. Weighing insurance against private pay first? Our free insurance vs. private pay calculator compares your take-home on each.

I'm in New York. Does the same pricing apply?

New York doesn't allow percentage-based billing fees, so New York practices are priced per claim instead. We'll walk you through it on the billing call.

How is this different from Headway, Grow, or Rula?

Marketplaces hold your payer contracts and take a share of every session, often 20 to 30% of session revenue, and now add fees on top. We charge 5.9% of collections, and you keep your own contracts, your own rates, and your own clients.

What about clawbacks and payer audits?

Your claims are built from the documentation you signed, so they hold up when a payer looks back. And because the contracts are yours, the appeal rights are yours too. We do the appeal work for you. No surprise deductions from a platform paycheck.

Who picks the billing codes?

You do. The codes on the claim are the ones on your signed note. Your biller checks each claim for completeness and consistency before it goes out, but the coding is always yours.

How much work is left for me?

Sign your notes, answer the occasional clarification request, and glance at your reports. Plan on under 30 minutes a week.

Do I need to use Upheal as my EHR?

Yes. The advantage is the loop between your documentation and your claims, and that only works on one platform. If you're on Upheal for notes only, our guided, AI-driven migration moves the rest over during onboarding, free.

Which payers do you support?

Commercial payers, in-network and out-of-network, plus Medicare and Medicaid, for US-based practices.

Can you get me credentialed?

Yes, and if you bill with us the fee comes back. $199 per commercial application, $399 per government application, paid upfront and credited back against your billing fees over the first six months, up to five applications per practice. One application is one provider with one payer. Medicare on request. Follow through and credentialing costs you nothing. Timelines are typically 1 to 4 months, depending on the payer. Billing starts when your first payer goes live, and we phase in the rest as they approve.

What will my contracted rates be?

They're negotiated between you and each payer, and nobody can see them before you're paneled, including us. Once you're in network, we bill at your contracted rate and the payment goes straight to you. If you're weighing whether insurance is worth it at all, the calculator above estimates your take-home.

What's the commitment?

A 12-month agreement that renews annually. Either side can end it with 30 days' notice. If you leave, we can keep working claims already in flight for up to 90 days, then hand everything over cleanly.

Your notes are already done.
