Appointment status
You can set an appointment status to record if a client attended the appointment, cancelled the appointment, cancelled the appointment late, or did not show.
By changing the status to Late cancelled or No show, you can also generate an invoice to charge a fee.
To set an appointment status:
Go to Calendar in the left menu.
Click on the appointment.
Click the Show dropdown menu.
Select the appropriate status: Show, Cancelled, Late cancelled, or No show.
If you select Cancelled, you will be given the option to send a cancellation email.
If you select Late cancelled or No show, you will be given the option to charge a fee.
You can charge the full service price, charge a different amount, or decline to charge a fee.
Automatic fees
If you have self-scheduling enabled so clients can cancel their own appointments, Upheal can automatically generate invoices billing clients the full cost of the service when they do not cancel within the window you set.
To set up automatic invoices for late cancellations:
Go the Settings in the left menu.
Scroll down and select Billing settings on the left.
Scroll down to No-show and late cancellation fees.
Toggle the switch on.
Select the window within which clients can cancel without a fee.
You can select 12, 24 ,48, or 72 hours before the scheduled appointment.
Clients who cancel later than the selected window are invoiced for the full service price.
If a client misses their appointment, you can generate an invoice by changing the appointment status.
